How to tailor a resume to a job description

HireMarq2 min read

A practical way to match a US or Canadian job posting without inventing experience: what to pull from the description, what to reorder, and what to leave out.

Start from the posting, not a blank page

A tailored resume is the same career, told in the order that matters for one role. Read the posting once for the job title and the team, then again for the requirements. Split those requirements into two lists: work you have actually done, and work you have not.

Keep a master resume with every role, date, and bullet you can defend. The version you send is a cut of that file. HireMarq saves the master and writes a version per job from it.

Match language you can support

If the posting says "stakeholder updates" and your bullet says "sent weekly status to the client," use their phrase only when it describes the same work. Swap the words. Do not add a tool, a metric, or a team you did not have.

Put the closest matches in the first two bullets of the most recent relevant role. Recruiters and parsers both spend more time at the top of a section. Older or unrelated bullets can stay, but they should move down or come out.

Cut what the role does not ask for

A one-page resume is not a rule for every career, but a long list of unrelated tasks hides the match. Drop bullets that repeat the same skill. Drop internships from ten years ago when the posting is for a senior role, unless they are the only proof of a required skill.

Leave dates, employers, and titles alone. Tailoring is wording and order. A title change that you did not hold is a different claim, and it is the kind of claim that fails a reference check.

Check the file before you send it

Read the tailored resume next to the posting. Every requirement you marked as real should be visible in the top half. Anything you were tempted to add from the posting, and could not point to in your history, comes out.

Save that file with the company and role in the name, then export a text-based PDF. The steps for a clean file are in ATS-friendly resume formatting.

Questions

How long does tailoring one resume take?

If the master resume is already true and complete, rewriting for one posting is a short editing pass: reorder, rephrase the bullets that match, and delete the rest. Starting from scratch each time is what makes it slow.

Should the summary quote the job description?

Use the role title and two skills you actually have. A summary that pastes the posting reads like the posting, not like you.

Can the same bullet appear on every application?

Yes, when it is your strongest proof of a skill several postings share. Change the lead bullet when the postings emphasize different work.

HireMarq writes the resume and cover letter from your history, then fills the application for you to review.
